Attendance Records - If you are attending an important conference or seminar, it may be worth getting your hands on a printed copy of the agenda. This will allow you to stay up-to-date on what is planned for the day and you will have a record of everything that is discussed. It is always good practice to bring a pen and paper so you can jot down all the important points. If you do not have access to a computer, bring your mobile phone instead - you never know when something might come up that you can then include in your notes. 2. Keep Your Cool - Even though it is your turn to speak, do not get emotional as this could blow up in your face during the presentation. Try and remain professional and focused on what is being discussed. The more focused you are, the better chance you have of passing on what you learn effectively. The other speaker will also benefit from this as well - they will be able to understand and remember more because you are so calm and collected. 3. Refresh Yourself - Even if the piece you are reading or the DVD you are watching is really good, do not watch too much of it. You might get too caught up in the text and miss out on some of the main points. Instead, take a few minutes to sit back, relax and get yourself refreshed. Try to think about something else that will occupy your mind and help you stay focused. Also, try to refocus on the speaker. If you start thinking about them while they are talking, you will probably get distracted. 4. Listen attentively - Listening skills are crucial to good communication. Try to hear the speaker out of his or her own voice. Do not attempt to write down everything that is being said - try to get a mental note list of important points. Then you can refer back to it whenever it is important. 5. Repeat What You Know - This is very useful especially if you have been doing the same thing already. However, do not bore the audience with long introductions. Once you have introduced yourself, mentioned the organisation and started describing the project, try to move on to other topics. 6. Be Prepared - It is sometimes a good idea to write down everything you will need to say. If you do not have notes, take a nap, get up, and do it. This will reduce the risk of forgetting key points or bits of information. At the end, you can then review or take notes. 7. Do not forget to Reward Good Performance - In any group or event, there will be someone who does not deliver as well as others. For this reason, there are meetings that do not go ahead without their principals. It is not only a good idea to reward the performer but also to acknowledge the effort. At the end of a meeting, present the person who impressed you with his or her work to your colleagues, clients or customers. This is another way to reinforce your message.
